Talent Llama + Gem Integration

Talent Llama’s integration with Gem streamlines the entire hiring workflow by allowing you to launch candidates with the click of a button. Hiring teams can import and invite candidates to interview from any stage in the Gem pipeline, eliminating manual exports and triggering AI interviews at the right time.
As interviews are completed, results and candidate results flow instantly back to Gem, keeping it as the single source of truth. The result: less admin, faster screening, and a smoother experience for both teams and candidates.
Before you begin: Like anything worth doing, integrations can take a little time. We don't anticipate it taking more than 30 minutes, but you might want to have a system expert and/or system administrator to assist in the completion of this integration.
Note: Gem currently supports importing candidates and sending results back to Gem. Webhooks are not yet supported, and candidate launches aren’t automated. However, you don’t need to manually upload a CSV, you can pull and launch candidates with a single click.
Connect Gem to Talent Llama
Step 1: In the bottom-left corner, click the three dots ( ⋯ ), select Integrations, then click Connect next to Gem to start the integration.

You'll then see a window asking you to insert your Gem API key and User ID. We'll show you how to get them now.

Create your Gem API Key
Step 2: In Gem, go to Admin Settings -> Integrations -> scroll down to Third Party Applications. Click Add Integration.
Then select Talent Llama from the drop down, and click Add Integration.

You'll then see your API Key appear, copy that, and store it in a safe place.

Finding your User ID in Gem
Okay, this step is a little tricker, but have no fear - it's explained in this video here. If you need further help, reach out directly to your CSM or support@talentllama.com.
Once you have both your API Key and your User ID, you're ready to connect Gem with Talent Llama.

Back in Talent Llama, you can now paste your API Key and User ID that saved above. Then click Save.

Once it's saved, you should see a green Connected icon on your Integrations window. This means it was a successful connection.

Importing Candidates from Gem
Now that your ATS is connected to Talent Llama, you can begin pulling candidates across to start their screening process. As mentioned above, candidates will not flow into your campaigns automatically at this stage, however it still very easy to launch candidates.
When you set up a new Campaign, or within an existing one, you can import roles directly from Gem when you're ready to launch.
To do this, head into your Campaign (or a set up a new one), and then click Import From Gem

Then, select the stage from which you'd like to pull candidates in (for example, the Phone Screen stage would be most common), then click Start Import.

Once you've imported your Applicants, you'll be ready to launch them. You should see your applicants appear as below.

When you're ready to send out invites to you candidates, click Settings in the right-side menu, and click the switch for Automatically Send Invitations.

Confirm your settings as below (if you want Text Invites too, how many Reminders you want to send, and if you want to automatically pause the campaign after a set number of interviews have been done)
Check the notes at the bottom (Applicants that will go immediately, etc)
Click Enable when you're ready to go!

You've just launched your first Gem imported Campaign!
Note: Every day or two (really whatever suits you), you'll need to import applications again, but with these settings turned on now, they will automatically send each time you pull new applicants over.
